What AI is actually good at
Today's AI tools are best at first drafts and busywork: writing an email or a quote, summarizing a long document or a meeting, cleaning up notes, and answering “how do I…” questions about software you already use. They save the most time on tasks you do over and over.
They're not a replacement for judgment. Treat AI like a fast new assistant: helpful, but someone checks its work before it goes out the door.
The real risk is what you paste in
Most AI problems in small businesses start with someone pasting customer details, financial information, or passwords into a free tool to get a quick answer. Depending on the tool and its settings, what you type may be stored or used to improve the provider's models.
Use business versions of AI tools
Business plans from the major providers, like Microsoft 365 Copilot, Gemini for Google Workspace, and ChatGPT's business plans, state that they don't use your business data to train their models. If you already pay for Microsoft 365 or Google Workspace, you may already have access, depending on your plan. Read the data terms for the plan you choose, and make that the only AI tool your team uses for work.
Write a one-page AI policy
It doesn't need to be long. Cover these points in plain words:
- Which tools are approved for work, and which aren't.
- What never goes in: passwords, Social Security numbers, bank and card details, and clients' personal, financial, or health information.
- Check before you send. A person reviews anything AI writes before it reaches a customer.
- Who to ask before trying a new AI tool or connecting it to company accounts.
Always check its work
AI can state wrong facts with total confidence, invent details, or miss context only you know. Check names, numbers, dates, and anything that sounds like advice. Never let it make legal, medical, or financial decisions on its own.
Start small
Pick one repetitive task that eats up time every week, like writing follow-up emails or summarizing meeting notes. Try AI on just that task for a few weeks, see what works, then add the next one.
